Audiology Equipment Repair Evaluation: What to Prepare

When an audiometer, tympanometer or another hearing and balance instrument needs attention, a clear description helps the DDX team discuss the next step. Gather the details below before requesting a repair evaluation. Follow the manufacturer’s instructions and your clinic’s procedures for taking equipment out of use when needed.

Identify the instrument and accessories

Record the manufacturer, model, serial number and, where relevant, software version. List the headphones, inserts, bone conductor, probes, power supply and cables used with the system. Include part numbers where available.

Describe what happened

Write down the symptom or exact error message, when it began and whether it happens consistently or intermittently. Note any recent move, accessory replacement or software change. Explain which function is affected without including patient details.

Keep useful records together

Have the date of the most recent service or calibration available if known. Photos of the instrument label, connector or accessory can help identify parts; remove any patient information from images. A symptom description does not establish a diagnosis or confirm which part needs replacement.

Contact DDX before shipping

Call or email first to discuss the equipment and whether an on-site visit, mail-in evaluation or another step is appropriate. Wait for confirmed shipping instructions and the list of items to include. Do not send an instrument to an address found online without confirmation from the DDX team.

Prepare for an agreed mail-in evaluation

Follow the instructions provided for your instrument, including cleaning, packaging and accessories. Include your clinic contact, equipment identifiers and symptom summary. Confirm shipping arrangements and any evaluation or repair terms with the team before sending the unit.

Is calibration the same as repair?

They address different service needs. Describe the problem when requesting service so the team can discuss whether troubleshooting or repair evaluation is needed alongside calibration.

Can you promise a turnaround time before evaluation?

Timing depends on the equipment, problem, parts availability and service arrangements. Ask the team for the current estimate for your case.

Should I send every accessory?

Confirm which accessories are required before shipping. Some issues need evaluation with the specific transducers or probes used with the unit.
