Clinic Equipment Readiness Checklist

Planning equipment delivery or replacing an instrument? Use this operational checklist to gather the information your supplier and team will need. Requirements vary by device, room and configuration. Confirm the manufacturer’s current instructions and the details of your order before making changes.

Confirm the order with your team

Keep the model, configuration and quoted accessories together. Name a clinic contact who can receive the equipment and coordinate any installation or training. Confirm delivery timing and whether any items or services will arrive separately.

Review the intended workspace

Identify the room and intended equipment location. Check access, available work surface and the connections the selected device requires. Share any room, soundroom or building constraints with DDX before scheduling. Room suitability for testing must be assessed against the requirements applicable to your equipment and workflow.

Coordinate computer and software requirements

For a computer-based system, have your IT contact review the manufacturer’s current requirements, approved connections and software version. Confirm installation responsibilities and whether administrator access or a scheduled IT appointment will be needed. Do not send passwords in your request.

Prepare accessories and consumables

List the transducers, probes, cables and consumables included in your order. Identify existing items you want to use with the new system and have compatibility checked first. For replacement tips, record the instrument model, probe type, part number, size and pack quantity.

Plan staff time and ongoing support

Confirm who needs to attend training and when the equipment will be available for setup. Keep the supplier’s support details, model and serial number accessible. Discuss calibration, service scheduling and backup arrangements that fit your clinic before the equipment enters routine use.

  • Computer, software and IT responsibilities confirmed where needed
